Purposes and legal bases for the processing of personal data

The purpose of the processing is to fulfill the public tasks assigned to us by the legislature, particularly to inform the public.

Unless otherwise stated, the legal basis for the processing of your data is Article 4 Paragraph 1 of the Bavarian Data Protection Act (BayDSG) in conjunction with Article 6 Paragraph 1 Subparagraph 1 Letter e of the General Data Protection Regulation (GDPR). Accordingly, we are allowed to process the data required to fulfill a task incumbent on us.

Recipients of Personal Data

The technical operation of our data processing systems is carried out by Medien-Service Untermain GmbH (MSU), Industriestr. 25, 91710 Gunzenhausen.

If necessary, your data will be transmitted to the responsible supervisory and auditing authorities to exercise the respective control rights.

In order to avert dangers to security in information technology, data can be forwarded to the State Office for Information Security in the case of electronic transmission and processed there based on Art. 12 et seq. of the Bavarian E-Government Act.

Disclosure of personal data to project partners

The forwarding of personal data to project partners concerns the City Archive of Graz, which may receive personal data submitted after consent has been given during registration. Unless otherwise stated, the legal basis for the processing of your data results from Art. 4 para. 1 of the Bavarian Data Protection Act (BayDSG) in conjunction with Art. 6 para. 1 subpara. 1 letter e of the General Data Protection Regulation (GDPR). Accordingly, we are authorized to process the data required to fulfill a task incumbent upon us.

Duration of storage of personal data:

Your data will only be stored for as long as is necessary to fulfill the task in compliance with statutory retention periods.

Your rights

If we process your personal data, you as the data subject have the following rights:

  • You have the right to information about the data stored about you (Article 15 GDPR).
  • If incorrect personal data is processed, you have the right to rectification (Article 16 GDPR).
  • If the legal requirements are met, you can request the deletion or restriction of processing (Articles 17 and 18 GDPR).
  • If you have consented to the processing or if there is a contract for data processing and the data processing is carried out using automated procedures, you may have a right to data portability (Article 20 GDPR).
  • If you have consented to the processing and the processing is based on this consent, you can revoke your consent at any time for the future. The lawfulness of the data processing carried out based on the consent until the revocation is not affected by this.
You have the right to object to the processing of your data at any time for reasons arising from your specific situation if the processing is carried out exclusively on the basis of Article 6 Paragraph 1 Letter e or f GDPR (Article 21 Paragraph 1 sentence 1 GDPR).

Technical implementation

Our web server is operated by MSU. The personal data you transmit when you visit our website is therefore processed on our behalf:

Login

When you access this or other websites, you transmit data to our web server via your internet browser. The following data is recorded during an ongoing connection for communication between your internet browser and our web server:

  • date and time of the request;
  • name of the requested file;
  • page from which the file was requested;
  • access status (file transferred, file not found, etc.);
  • web browser and operating system used;
  • full IP address of the requesting computer;
  • amount of data transferred.

After the connection ends, the data is anonymized by shortening the IP address at domain level so that it is no longer possible to refer to individual users.

Cookies

We use cookies to save your personal privacy settings. These cookies are valid for 30 days. After this time, you may need to update your personal settings. If you write a comment on our website, your name, e-mail address and website can optionally be saved in cookies. This is a convenience feature, so you don’t have to re-enter this information next time. These cookies are stored for one year. Furthermore, our online shop requires technically necessary cookies, see below.

Integration of external content

When you visit our website, additional services from Google (e.g., embedded videos from YouTube) are offered via a so-called two-click solution.

When the website is called up for the first time, no data is transmitted to the operator. Only after the user has consented to the opt-in procedure by clicking on the relevant page will data (including the URL of the current page and the IP address of the user/the user) be saved immediately and on each subsequent visit user*) to the respective operator. As a user, you can decide for yourself whether you agree to the activation of these offers and the data transmission. The user can revoke this consent at any time and prevent further data transmission to the operator by clicking on the corresponding button on the homepage (opt-in procedure).

Integration of YouTube videos

Videos from the external video platform YouTube are integrated into our website.

By default, only placeholders are embedded that do not automatically connect to the servers of YouTube or Google. This means that the operator does not receive any data from the user when the website is accessed.

You can decide for yourself whether the YouTube or Vimeo videos should be activated. Only when you allow the videos to be played by clicking on “I agree” do you give your consent for the data required for this (including the Internet address of the current page and the IP address of the user) to be transmitted to the operator.

In order to save the setting desired by the user, we set a cookie that saves the parameters. However, when these cookies are set, we do not store any personal data; they only contain anonymized data to adapt the browser. The videos are then active and can be played by the user. If you would like to deactivate the automatic loading of YouTube videos again, you can adjust your browser settings accordingly. This also updates the cookie settings.
